02

Website and access

The website uses Cloudflare for domain services and hosting through Cloudflare Workers. Delivering and protecting the website involves processing technical information such as IP addresses, browser information and connection or request details. Cloudflare may also process operational and security information under its service arrangements.

The private call room uses shared credentials and cookie-based sessions. Authentication cookies support access to the room. Shared credentials do not mean that connections or sessions are anonymous.

03

Enquiries and bookings

When you contact me or book a meeting, I process the details needed to respond and arrange the meeting, such as your name, email address, selected time and information you choose to share. Nylas connects the booking service to Google Calendar. Resend handles transactional email.

These details are used to respond to your request, arrange a consultation and, where relevant, take steps towards an agreement or deliver agreed services. If you contact me on behalf of an organisation, my legitimate interest is communicating with its representatives to manage that business relationship.

04

Calls and chat

LiveKit Cloud provides the video-call room. It processes the audio, video, messages and connection information necessary to provide the features you use. Other participants receive the content you share in the room.

I do not record calls or save chat messages or translations as conversation histories. Processing content to deliver a call or translate a message is different from keeping a transcript. Service providers may retain technical information or other data under their applicable processing terms.

05

Chat translation

Chat messages are automatically processed by Microsoft Azure Translator. Message text and the language settings needed for translation are sent to Microsoft, and translations are returned to the call room. Translation is not an optional room setting.

I do not save chat messages or translations as conversation histories. Microsoft states that text submitted to Azure Translator for translation is not written to persistent storage or used for training. This statement concerns translation content, not necessarily technical service or billing metadata.

Translations can contain mistakes; important decisions should be confirmed directly. See Microsoft’s Translator No Trace policy.

06

Payments

Mollie provides payment processing. Depending on the payment method and integration, the transaction involves payment and billing details, an amount, a transaction reference and a payment status. I use relevant transaction information to manage payments, perform agreements and meet accounting obligations. Mollie also processes information for its own payment-related legal and regulatory duties. See Mollie’s privacy information.

07

Content, icons and preferences

Sanity manages the website’s content. Where your browser retrieves content or images directly from Sanity, the service also receives the technical information needed to respond to those requests.

Font Awesome icons are served locally rather than loaded through a Font Awesome hosted Kit. Theme and language preferences are stored in your browser’s local storage until you change them or clear site data. No separate marketing or visitor-tracking tools have been deliberately added. Cloudflare may provide operational, security and analytics information as part of its services.

08

Who receives information?

The providers supporting the relevant features are Cloudflare (hosting and security), LiveKit Cloud (calls and room communication), Resend (email), Nylas and Google Calendar (bookings), Microsoft Azure Translator (translation), Mollie (payments), and Sanity (content). Their roles and processing depend on the service they provide. Providers can have separate obligations for security, abuse prevention and legal compliance.

Information may also be disclosed where necessary to meet a legal obligation or establish, exercise or defend legal claims. Following links to WhatsApp or Instagram takes you to separately operated services.

09

How long information is kept

  • Enquiries: 6 months after the last meaningful contact.
  • Booking records: 6 months after the meeting, or after cancellation if the meeting does not take place.
  • Call recordings: none are created.
  • Chat messages and translations: no conversation history is saved by me.
  • Accounting records: kept for the applicable statutory period, generally 7 years for core Dutch business records.
  • Browser preferences: remain until changed or cleared in your browser.

Information that becomes necessary for an ongoing client agreement, a legal obligation or a specific dispute may need to be retained separately for that purpose. The 6-month period does not override statutory duties. Provider technical and security records follow their separate applicable retention arrangements; Azure Translator does not persist the submitted translation text.

10

Your privacy rights

Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your personal data. You can object to processing based on legitimate interests and withdraw consent where processing relies on consent. Some information may need to be retained to meet legal duties or deal with legal claims.

Contact bjorn.vd.lugt@gmail.com to make a request. I may need proportionate information to verify your identity. Requests are normally answered within one month; if a permitted extension is needed, I will explain why. You may complain to the Autoriteit Persoonsgegevens or your relevant supervisory authority.

Changes and contact

This policy should be read alongside the information provided when you book, pay or join a call. It will be updated when the service or its data practices change. If you have questions about your information, contact me using the details above.
